ThinkEx gives you two ways to share a workspace: a share link that lets anyone join as a collaborator, and an email invite that brings a specific person in with a chosen permission level. You can also generate a copy link if you want to give someone their own independent version of your workspace.

Permission levels

Every person in a workspace has one of three permission levels:
LevelWhat they can do
ViewerRead all cards and content; cannot make changes
EditorAdd, edit, and delete cards; invite other collaborators
OwnerFull access; can change collaborator permissions and remove people
There is only one owner per workspace — the person who created it. Ownership cannot be transferred.

Opening the share dialog

Open the workspace you want to share, then click the Share button in the workspace header. The share dialog gives you access to all sharing options.

Inviting a collaborator by email

1

Open the share dialog

Click Share in the workspace header.
2

Enter an email address

Type the person’s email address into the invite field.
3

Choose a permission level

Select Viewer or Editor from the dropdown next to the email field.
4

Send the invite

Click Invite. ThinkEx sends an invite to that email address.
The invited person receives an email with a link. When they click the link, they must sign in (or create an account) with the same email address the invite was sent to. If they’re logged in with a different email, they’ll see an error and need to switch accounts.
Invites expire after 7 days. If the person doesn’t accept within that time, you’ll need to send a new invite.
Pending invites are listed in the share dialog under the collaborator list. You can revoke an invite before it’s accepted by clicking Revoke next to it. A share link lets anyone with the link join the workspace — no email address required.
1

Open the share dialog

Click Share in the workspace header.
2

Select Collaborative

In the link section at the bottom of the dialog, make sure Collaborative is selected (not “Share as Copy”).
3

Copy the link

Click Copy. Share the link however you like — email, chat, or anywhere else.
Anyone who opens the link and is signed in with a non-anonymous account will be added to the workspace as a collaborator. Anonymous users are prompted to sign in first.
Collaborative share links expire after 7 days. Generate a new one from the share dialog if the old link stops working.

Sharing a copy

If you want to give someone their own independent version of your workspace — without connecting them to your live workspace — use the Share as Copy link. In the link section of the share dialog, select Share as Copy, then click Copy. The recipient opens the link and gets a duplicate of your workspace that belongs entirely to them. Changes they make don’t affect your workspace, and changes you make don’t affect theirs. Copy links do not expire.

Accepting an invitation

When someone shares a workspace with you, you’ll receive a link by email or directly.
1

Open the link

Click the link in the invite email or from whoever shared it with you.
2

If you’re not already signed in, you’ll be prompted to sign in or create an account. For email invites, use the same email address the invite was sent to.
3

Access the workspace

After accepting, the workspace appears in your dashboard and opens automatically. Your permission level is set by whoever invited you.

Managing collaborators

Owners can manage collaborators from the share dialog. To change a collaborator’s permission level: Open the share dialog and find the person in the collaborators list. Use the dropdown next to their name to switch between Viewer and Editor. To remove a collaborator: Open the share dialog, find the person, and click the trash icon next to their name. They lose access to the workspace immediately.
Only the workspace owner can change permissions or remove collaborators. Editors can invite new people but cannot manage existing access.
